This Privacy Policy explains how Texas Fingerprint & Notary (“we,” “us,” or “our”) collects, uses, shares, and protects information when you visit texasfingerprint.com, book an appointment, or use our fingerprinting, notary, and apostille services in The Woodlands, Texas and the surrounding areas.
1. Information we collect
We collect only the information needed to provide our services:
- Contact & appointment details — your name, phone number, email, and the service and time you book.
- Identity information — the government-issued ID and any agency forms, ORI numbers, or reference codes you present, as required to complete your service.
- Payment information — processed securely by Square. We do not store your full card number on our systems.
- Fingerprint & biometric data — captured only to fulfill your requested fingerprinting or background-check service (see Section 2).
- Website information — basic technical data your browser sends (such as pages viewed), and information from embedded Google Maps and Google review features.
2. Fingerprint & biometric data
Because we handle sensitive biometric information, we hold ourselves to a strict standard:
- We capture your fingerprints solely to transmit them to the agency or authority you have asked us to submit to (for example, the FBI, FDLE, a state licensing board, or an ATF submission).
- We do not retain your fingerprints or biometric data after your submission is complete. We do not use them for any other purpose, and we do not sell, rent, or trade them.
- We do not use your biometric data for marketing, profiling, or any purpose unrelated to the service you requested.
If your submission requires us to hold records for a defined period under a specific agency’s rules, we will tell you at the time of service and destroy those records securely when the requirement ends.
3. How we use your information
- To schedule, confirm, and complete your appointment and service.
- To transmit your submission to the correct agency or authority.
- To process payment and issue receipts through Square.
- To contact you about your appointment or respond to your questions.
- To meet our legal, regulatory, and record-keeping obligations.
4. When we share information
We share information only as needed to deliver your service or comply with law:
- With the agency or authority you asked us to submit to (e.g., FBI, FDLE, state or federal offices) — this is the core purpose of the service.
- With service providers who help us operate (see Section 5).
- When required by law, such as a valid subpoena, court order, or legal obligation.
We do not sell your personal information, and we do not share it for third-party advertising.
5. Third-party services
We use a small number of trusted providers:
- Square — processes appointment payments and booking. Your payment is handled under Square’s security and privacy practices.
- Google — we embed Google Maps and Google review features on our site. Google may collect information as described in Google’s own privacy policy.
These providers process information under their own privacy policies. We encourage you to review them.
6. How we protect your information
We use reasonable administrative, technical, and physical safeguards to protect the information we handle, and we limit access to those who need it to provide your service. No method of transmission or storage is 100% secure, but we take the sensitivity of fingerprint and background-check data seriously and design our process to minimize what we keep.
7. Your choices & rights
You may contact us to ask what information we hold about you, request a correction, or request deletion where we are not legally required to retain it. Because we do not retain fingerprint or biometric data after submission, in most cases there is no biometric record to delete.
Depending on your state of residence, you may have additional rights under applicable privacy laws. We will honor those rights as required by law.
8. Children’s privacy
Our services are intended for adults and for minors accompanied by a parent or legal guardian for a lawful purpose. We do not knowingly collect information from children online except as part of an in-person, guardian-authorized service.
9. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above. Material changes will be posted on this page.
